Email Security & Phishing Protection

Filtering that stops phishing, spoofing and malicious attachments before they reach an inbox, plus the SPF, DKIM and DMARC records that stop criminals sending mail as you.

All Managed IT

Overview

Most breaches start with an email that looked fine.

The attacks that actually land on small businesses are not sophisticated. An email that appears to come from the owner asks the bookkeeper to pay an invoice. A message from a real supplier's compromised account carries a link to a fake Microsoft login. A shared document notification leads to a page that steals a password. Built-in filtering catches the obvious spam; these are designed to get past it, and they do.

Email security adds a layer tuned for exactly those: filtering that scores the intent of a message, not only its attachments; impersonation protection that knows who your executives and suppliers are and flags mail pretending to be them; sandboxing that opens links and attachments somewhere safe first; and a quarantine your staff can check themselves. On the other side of the problem, we set up SPF, DKIM and DMARC for your domain properly and move them to enforcement, so criminals cannot send mail as you to your customers.

The marketing team benefits too: the same authentication is what keeps your own newsletters out of spam folders.

  • Impersonation and business email compromise defenseMail pretending to be your executives, your suppliers or your domain is flagged or held.
  • Attachment and link sandboxingFiles and links opened in isolation before a person can, with lookalike domains blocked.
  • SPF, DKIM and DMARCDomain authentication set up correctly and moved to enforcement once legitimate senders are accounted for.
  • Quarantine your staff can useA daily digest and self-service release, so a held message does not need a ticket.
  • ReportingWhat was blocked, what was released and what is trending, every month.

How It Works

Delivered on our platform

Filtering sits in front of your Microsoft 365 or Google Workspace tenant and is tuned by our team; quarantined mail is reviewable by your staff without a ticket. Domain authentication records are set up with your DNS provider and moved to enforcement once every legitimate sender — the website, the accounting system, the newsletter platform — has been accounted for.

Common Questions

Questions we get asked

Microsoft already filters our email. Why add another layer?

The built-in filtering is reasonable against bulk spam and known malware. The attacks that cost small businesses money are targeted: a message written for your bookkeeper, from a lookalike domain or a real supplier's hijacked account, with nothing in it a signature-based filter recognizes. A dedicated layer scores intent and impersonation, which is where the default falls short.

What is business email compromise?

A fraud where the criminal impersonates someone the recipient trusts — the owner, a supplier, a lawyer — to get money or data moved. No malware is involved, so antivirus never fires; the only defenses are filtering that recognizes impersonation, authentication that stops spoofing of your domain, and staff who know to pick up the phone before paying a changed invoice.

Will legitimate email get blocked?

Some will be held for review at first, especially in the tuning period, which is why there is a quarantine digest your staff can release from themselves and why we watch the false-positive rate closely in the first weeks. After tuning, held legitimate mail is rare, and anything released teaches the filter.

What are SPF, DKIM and DMARC, in plain terms?

Three records in your domain's DNS that let receiving mail systems check that a message claiming to be from you really was sent by a system you authorized. Without them, anyone can send mail as your domain. With them at enforcement, forged mail is rejected before it reaches your customers, and your own legitimate mail is trusted more.

Do you handle the DNS changes?

Yes, with your DNS provider or with our managed IT team if that is us. We inventory every legitimate sender first — the website's contact form, the accounting system, the newsletter platform, the scanner — so nothing breaks when enforcement is switched on. Getting that inventory wrong is how authentication projects cause outages.

Does this help our marketing emails reach inboxes?

Directly. The same SPF, DKIM and DMARC records that stop criminals spoofing your domain are what mailbox providers check before trusting a newsletter from you. Businesses that come to us for email deliverability problems and businesses that come for security end up with the same records configured.
