What agencies usually ask for
Productivity suites and document tools are the most predictable renewal on any agency calendar, and the most common reason to talk to us. Requests are usually a Microsoft 365 or Google Workspace renewal, a move into a government tenant, an e-signature or PDF standardization project, or creative tooling for a communications team.
How this category is licensed
Suites are per user per month on an annual commitment. Government SKUs such as the Microsoft G-series differ from commercial ones in the tenant they run in and the compliance boundary they carry, so the SKU family is a decision, not a detail. Higher suites bundle security and device management that would otherwise be separate add-ons. Adobe is sold through volume programs with annual true-ups, and role-based seats (frontline, kiosk, full) change the total more than any discount.
What to have ready for a quote
User counts by role, the end date of the current agreement, which tenant type you are in or moving to, the security add-ons you already run, and any data residency requirement. Products from different vendors can be co-termed on one renewal date, which is usually the single biggest simplification available.
Typical combinations
Microsoft 365 G5 with Acrobat Pro for Enterprise is the standard office pairing; Google Workspace with Acrobat covers agencies on Google. Communications teams add Creative Cloud for Teams. Identity and endpoint security are frequently folded into the same renewal so everything renews once.
What moves the price most
The suite level, because the top suites already contain security and device-management add-ons you may be paying for separately; the share of users who can take a frontline or kiosk seat instead of a full one; the commitment term; and the government versus commercial SKU family. A seat audit before renewal is routine and usually the largest saving on the table.
