Microsoft 365 & Google Workspace Backup
Independent, daily backup of mailboxes, OneDrive, SharePoint, Teams and Google Drive — because Microsoft and Google keep the service running, not your data safe.
Overview
Microsoft runs the service. Protecting what is in it is your responsibility, in writing.
Microsoft and Google both say it plainly in their terms: they keep the platform available, and you are responsible for your data. Deleted items are kept for a while and then they are gone. A ransomware attack that encrypts a synced OneDrive, a departing employee who empties a mailbox, a SharePoint library overwritten by a bad migration, a retention policy that was set wrong — none of these are covered by the subscription, and all of them happen to small businesses every week.
An independent backup takes a daily copy of every mailbox, OneDrive, SharePoint site, Teams chat and Google Drive into storage that is not Microsoft's or Google's, keeps it for as long as your policy says, and lets us restore a single email, a whole mailbox or an entire site to the state it was in on a given day. For regulated businesses the same service provides a tamper-evident email archive that satisfies retention and discovery requirements.
Restores are done by our team, and we test them on a schedule, because a backup nobody has restored from is a hope rather than a plan.

Common Questions
Questions we get asked
Doesn't Microsoft already back up our data?
Microsoft keeps the service running and replicates it so a data-center failure does not lose your mail. It does not protect you from deletion, ransomware, a malicious insider or your own retention settings, and its own agreements say so. Recycle bins and retention holds help for a while; an independent backup is what lets you go back to a specific day, months later.
How is this different from the backup on our servers and laptops?
Device backup protects what lives on a machine. Most of a modern business's data lives in the cloud suite instead — mail, shared documents, Teams conversations — and never touches a local disk in a form a device backup can capture. The two services cover different places, which is why we offer both.
How long is data kept?
As long as your policy requires, set when the service starts. Many businesses keep everything indefinitely because storage is inexpensive relative to the cost of needing something that is gone; regulated ones set retention to match HIPAA, state records law or their legal counsel's guidance. Ex-employees' data can be kept without paying for their license.
What is email archiving and who needs it?
An archive is a copy of every message, kept in a form that cannot be altered, searchable for legal or regulatory requests. Medical practices, financial firms, law offices and public bodies subject to records requests typically need one. It runs on the same platform as the backup, so for most clients it is a setting rather than a second product.
Can you restore a single email or file?
Yes, and that is the most common request — one deleted message, one overwritten spreadsheet, a folder that vanished. Our team searches the backup, restores the item to its original place or to a location you choose, and confirms with you. Whole-mailbox and point-in-time restores are the same process at a larger scale.
