Email Migration Services

Move mail, calendars, contacts and shared mailboxes between Google Workspace, Microsoft 365 and on-premises Exchange — with the cutover planned, rehearsed and done without a lost day.

All Managed IT

Overview

Email migrations go wrong at the edges: the shared mailbox nobody mentioned, the calendar that came back empty.

Moving mailboxes is the easy part. What goes wrong is everything around them — the shared mailbox the accounts team lives in, the distribution lists, the calendars with years of recurring meetings, the aliases customers still write to, the mail-enabled scanner in the corner, the DNS record changed at the wrong moment so mail bounces for an afternoon. A migration that handles the mailboxes and misses the edges is the one people remember.

We run migrations as projects: an inventory of everything that sends or receives mail, a plan for coexistence while both systems are live, a rehearsal with a pilot group, then a cutover in a window you choose — usually a weekend — with DNS, authentication and client reconfiguration done in order. Afterwards we validate item counts, check every shared resource and stay on the help desk for the first days when questions arrive.

If we also manage your devices, Outlook and mobile clients are reconfigured through our platform on the morning of cutover rather than desk by desk, and the destination tenant is administered by the same engineers who moved you into it.

  • DNS, authentication and cutoverMX, SPF, DKIM and DMARC changed in the right order so mail keeps flowing and keeps being trusted.
  • Device and client reconfigurationOutlook, phones and the scanner in the corner, reconfigured through our platform where we manage devices.
  • Post-migration validation and supportItem counts compared, shared resources checked, and the help desk ready for the first week.

How It Works

A project, not a button

Migrations are run as projects with a plan, a rehearsal and a cutover window, by the same engineers who will administer the destination tenant afterwards. Where we manage your devices, mail clients are reconfigured through NinjaOne, our enterprise management platform, on the morning of cutover.

Common Questions

Questions we get asked

Will we lose email during the migration?

No. Both systems stay live during the migration, and the cutover is the moment new mail starts arriving in the new place; anything in flight is caught by the coexistence setup and delivered. Users may notice a short period where the client asks for a password or needs to be reopened, which is why we schedule cutover for a quiet window.

How long does an email migration take?

Planning and inventory take a week or two; the data copy runs in the background for days, depending on how much mail there is; the cutover itself is a scheduled window, usually a weekend. A small office can be done in two to three weeks end to end. Large archives and complex shared structures take longer, and we tell you that at the planning stage.

Do we have to change our email addresses?

No. Your domain and every address and alias move with you. The only addresses that change are the ones you decide to retire, and we set forwarding for those so nothing a customer sends goes missing.

What happens to old email and archives?

They come too. Mail in mailboxes migrates in full, including folder structure; local archive files on individual machines are collected and imported where you want them; and if you need a compliant archive going forward, it can be switched on in the new tenant as part of the project.

Can you migrate from an old on-premises Exchange server?

Yes, and it is one of the more common jobs: an Exchange server that is out of support, running on hardware that should have been retired, moved to Microsoft 365. The approach is the same — inventory, coexistence, pilot, cutover — with extra care around authentication and the devices that still point at the old server.

What do you need from us?

Administrative access to the current and destination systems, access to your DNS, a list of anyone who sends or receives mail that is not a person — scanners, applications, websites — and a contact who can answer questions about how the business uses shared mailboxes and calendars. The inventory session usually surfaces the rest.
